Finance Assistant

Advertising Specialty Institute

This is a Full-time position in Bedminster, PA posted May 3, 2021.

The Finance Assistant position, reporting to the Finance Manager will assist with month-end closing, processing journal entries, reconciling credit cards, completing account reconciliations, preparing for meetings, creating presentations and more. This is a unique opportunity that is 80% finance support and 20% administrative support.

 Position Responsibilities Include:

·      Assists with the month end close

·      Processes journal entries on a monthly basis.

·      Performs reconciliation of General Ledger expense and balance sheet accounts

·      Provides additional analysis as requested.

·      Prepares the monthly financial package

·      Schedules meetings as needed
– sending Outlook invitations, tracking responses, setting up rooms, etc.

·      Makes travel, hotel, and transportation arrangements as well as setting up registration for conferences, training, shows, etc.

·      Organizes and maintains files.

·      Keeps executives informed and prepared for meetings and presentations when requested.

·      Tracks and completes expense reports.

·      Plans department events/outings.

·      Reconciles credit cards monthly by coding Credit Card transactions and obtaining the appropriate documentation to support the credit card transaction.

·      Reviews Organizational Charts

·      Assists business strategy department managers with ad hoc projects

Requirements: 

·      Bachelor’s degree in Accounting/ Finance or related fields

·      Minimum of 1-2 years finance/ accounting experience or related experience

·      Proficient in Microsoft Excel, Word, PowerPoint, and Outlook

·      Excellent time management skills, with the ability to prioritize and multi-task, and work under shifting deadlines

·      Excellent written and verbal communication skills and ability to maintain confidentiality

·      Ability to pay close attention to details with strong organizational skills
