nn JOB TITLE: Clinical Supervisor Heart of Texas Eye Institutenn nn n nn nn SUMMARY OF DUTIES: Responsible for supervision of clinical staff and coordination with personnel of other departments nn nn n nn nn SUPERVISION RECEIVED:Reports to Physiciansnn nn n nn nn SUPERVISION EXERCISED:Supervises clinical staff nn nn n nn nn ESSENTIAL FUNCTIONS:nn nn n nn nn1.Manages patient flow including assignment of staffing and adjustment of room assignments where needed.nn nn n nn nn2.Supervises and manages personnel in clinical department and ensures adequate coverage for performance of clinical activities.nn nn n nn nn3.Directs and supervises clinical services in accordance regulatory standards and brings concerns to the attention of the Administrator in a timely manner.nn nn n nn nn4.Responsible for training of clinical staff and assists Physicians with evaluation of staff performance.nn nn n nn nn6.Ensures positive patient service atmosphere and interactions in clinical areas.nn nn n nn nn7.Promotes teamwork through collaboration.nn nn n nn nn8.Investigates patient complaints and ensures timely response where needed.nn nn n nn nn9.

nn nn n nn nn EDUCATION:COAnn nn n nn nn OTHER REQUIREMENTS:Must hold current Certified Ophthalmic Assistant or higher, Time Management, Good Communicator, People Skillsnn nn n nn nn EXPERIENCE:Minimum of five years ophthalmic office and personnel management experience nn nn n nn nn KNOWLEDGE:nn nn1.Knowledge of management and organizational theory to supervise the operation of the clinical department including principles of employee development to train, delegate and mentor staff.nn nn n nn nn2.Knowledge of ophthalmic examinations and testing process and procedures and requirement to evaluate existing standards and implement new procedures as needed.nn nn n nn nn3.Knowledge of current ophthalmic technician duties and clinical state-of-the-art diagnostic equipment.nn nn n nn nn4.Knowledge of patient service concepts and HOTEI policies.nn nn n nn nn5.Working knowledge of computer systems (EMR/Practice Management, MS Office).nn nn n nn nn6.Knowledge of HOTEI policies and procedures.nn nn n nn nn SKILLS AND ABILITIES:nn nn n nn nn1.Effective management and communication skills to establish/maintain cooperative relationships with patients and families, Physicians, Front Office Manager, and other staff.nn nn n nn nn2.Ability to communicate clearly with exceptional patient service skills nn nn n nn nn3.Skill in assessing staffing needs and problem solvingnn nn n nn nn4.Ability to plan, organize, prioritize, and direct the work of others.nn nn n nn nn5.Ability to analyze workload requirements and schedule staff appropriately.nn nn n nn nn ENVIRONMENTAL/WORKING CONDITIONS:nn nn n nn nnCombination of office, exam and other clinical settings.

Seeks feedback (i.e.

patients, Physicians, co-managers, staff, etc.) to ensure interactions are appropriate.

Investigates and resolves patient and staff complaints.nn nn n nn nn PRIMARY TASKS nn Supervise, coordinate, and provide back-up for the activities of the clinical staff.

Manage the human resources of the clinical support staff.

Interview, recommend hiring, new employee orientation, training, assign work to and, when necessary, discipline and recommend termination.

Interact with the Physician team in resolving complex employee-relations problems Ensure the daily operating activity of the clinical area is appropriate such as assigning workload, maximizing staff productivity and patient flow, collecting, and preparing various reports to effectively plan for resource allocation changes Assist in evaluating the performance of clinical staff by monitoring individual work performance and obtaining feedback from patients, physicians, and other personnel to accurately evaluate employees Coordinate with the Physicians in implementing all Practice personnel policies and procedures Provide for daily patient coverage, assist the Physicians in developing exam work up and testing protocols and provide related training to staff as needed Responsible for maintaining properly operating testing equipment and instruments and contacting appropriate personnel for repairs Responsible for reporting for approval of all emergency repair services and coordinating routine maintenance.

Monitor and maintain sufficient inventory of clinical supplies that meet the needs of the Practice and staff but also control costs.

Research companies for cost and report inventory needed to Front Desk Supervisor for purchasing.

Ensure the Practice’s compliance with OSHA regulations Review manuals on a regular basis and schedule an annual audit and special training sessions for new Practice employees in conjunction with the Physicians and Front Desk Supervisor.

Identify problems with the medical record functions, report them to the Physicians and offer suggestions for improvements Perform weekly spot audits of personnel to ensure timely and accurate completion of patient visit notes in EMR Participate in the development of patient education programs as requested Plan conduct and/or facilitate in-services and education programs for clinical employees.

Ensure employees are current with required skills and knowledge Maintain professional affiliations and enhance professional development to keep current in the latest healthcare trends and developments Perform other duties as required by the Physicians to ensure the efficient operation of the Practice and the attainment of Practice goals nn n nn nn POSITION REQUIREMENTS nn Support the “team concept” through cooperative interaction with co-workers to maintain a positive environment Demonstrate strong communication and interpersonal skills Demonstrate initiative in the performance of duties Maintain a high level of efficiency utilizing good organizational and time management skills Maintain a high level of personal conduct, attendance, and punctuality Maintains strict confidentiality regarding all practice related information including but not limited to patient’s medical history and personnel information Demonstrate knowledge of management and organizational theory to supervise the operations of the clinical area, including principles of employee development to train, delegate, and mentor staff; knowledge of medical safety practices and requirements to evaluate existing standards and implement new procedures; knowledge of current technician practices.

Skill in applying and modifying principles, methods, and techniques of an ophthalmic tech.
